Who we are
This website, cityboiler.co.uk, is run by City Boiler, a sole trader business based at 8 Hay Lane, Coventry CV1 5RF, United Kingdom (“City Boiler”, “we”, “us”). We are the data controller for the personal data described in this notice. You can contact us about your data at help@cityboiler.co.uk.
City Boiler is an introduction service. We are not an installer. We help you decide on a heating system and, with your consent, pass your details to one independent local installer who can quote for the work.
What we collect
When you use the quote form, we collect:
| Information | Example |
|---|---|
| The system you need | Boiler replacement, heat pump installation or boiler repair |
| Your postcode | To find an installer who covers your area |
| Details about your home | Property type, number of bedrooms, current heating system, when you need the work |
| Your name | So the installer knows who to ask for |
| Your phone number and email address | So the installer can contact you about your quote |
Our hosting provider also collects limited technical data such as your IP address and browser type, to run and protect the site.
We do not ask for payment details or any special category data.
Why we use it and our lawful basis
| Purpose | Lawful basis under UK GDPR |
|---|---|
| Sharing your quote request with one independent installer so they can contact you and quote | Your consent, given by ticking the box on the quote form |
| Contacting you about the request you made, if needed | Your consent |
| Running, securing and improving the website, and preventing spam and misuse | Our legitimate interests in operating a safe, working website |
| Keeping records of requests and consents so we can show we handled your data properly | Our legitimate interests, and our legal obligations where they apply |
We do not use your details for marketing unless you have separately agreed to it, and we do not sell your data to lists or brokers.
Who we share it with
One independent installer. With your consent, we send your quote request to one independent installer who covers your area and holds the right registration for the work (Gas Safe, MCS or OFTEC). That installer becomes a separate controller of your data and handles it under their own privacy notice. Any contract for work is between you and them.
Service providers who process data for us. We use a small number of providers to run the site and deliver your request, such as:
- Cloudflare, which hosts the website
- Web3Forms, which receives the quote form and emails your request to us so we can pass it to the installer
They act only on our instructions.
We may also disclose data where the law requires it.
International transfers
Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
How long we keep it
We keep quote requests and the record of your consent for 24 months from the date you submit the form, then delete them. You can ask us to delete it sooner.
Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you
- have inaccurate data corrected (rectification)
- have your data erased
- object to processing based on our legitimate interests
- restrict processing in some circumstances
- data portability, where processing is based on consent
- withdraw your consent at any time, without affecting anything already done before you withdrew it
To use any of these rights, email help@cityboiler.co.uk. We will respond within one month. If your details have already gone to an installer, we will tell you who they are so you can contact them too.
Cookies and analytics
We do not use analytics or advertising cookies. If we add analytics in future, we will ask for your consent first and update this notice.
Complaints
If you are unhappy with how we have handled your data, please contact us first at help@cityboiler.co.uk. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk.
